Prepare meetings and follow up on actions
Keep discussion and decisions in one meeting task, then schedule the work that follows.
On this page
Before: prepare questions and materials
Create a task such as ‘Review the client product page’ and set a preparation date. In the note, list decisions needed and link the latest proposal and materials.
Create subtasks for independent preparation such as gathering feedback or checking the demo.
Decisions needed:
-
Materials:
-
Confirmed decisions:
-
Open questions:
-
Follow-up actions:
- During: separate decisions from open questions
Continue in the same note. Distinguish agreed scope, unresolved questions, and suggestions, keeping the evidence behind decisions.
For example, a product introduction and contact entry may be agreed while the choice between a form and email remains open. Record these separately.
After: turn actions into subtasks
Use ‘/’ → Task for ‘Confirm the contact method’, ‘Update the wireframe’, and ‘Send the revised draft’.
Define a result and start date for each action. Add a due date and reminder where needed, and record who needs to supply information.
Return to the record before the next meeting
Keep results and material links in each action, then mark it done. The parent task connects past decisions with subsequent progress.
Add a project tag to meeting records you want to retain for checking scope and decisions later.
